Introduction

The Automated Google Drive Organizer workflow is designed to tidy up your workspace by automatically sorting files into relevant folders. It fetches your files, categorizes them using an AI model based on their type and content, moves them to appropriate destinations, and sends a summary email of the organization process.

It performs the following tasks:

  1. Lists all files owned by you, excluding folders.
  2. Limits the files to the top 10 for a manageable batch processing run.
  3. Uses an AI agent to categorize each file by checking its type and content keywords.
  4. Moves each file to its designated folder based on the AI classification.
  5. Generates and sends a summary report via Gmail detailing the files moved, skipped, or failed.

What You Need

  1. A Google account with access to Google Drive and Gmail.
  2. A Needle platform account with Google Drive and Gmail connectors linked.
  3. Folder IDs for your Google Drive folders where files will be organized.
  4. Basic understanding of how to customize AI prompts to match your specific categorization rules.

Important Notes

  1. Be sure to customize the AI prompt in the categorization node with your actual Folder IDs and business-specific keywords.
  2. Update the email address in the final AI agent node to ensure the summary report is sent to your own inbox.
  3. The workflow currently processes only the first 10 files per run to ensure efficiency.
  4. You can trigger this workflow manually whenever you want to tidy your Google Drive.
