Introduction

This workflow automates the process of organizing files in Google Drive by analyzing your personal files, categorizing them based on content and file type, and moving them to the appropriate folders. It streamlines file management so your Drive stays neat without manual sorting.

It performs the following tasks:

  1. Lists the Google Drive files owned by you, excluding folders.
  2. Selects the top 10 files from the list for processing.
  3. Uses an AI model to classify each file based on name, file type, and specified keywords, then determines the correct destination folder.
  4. Moves the files into their categorized folders and sends a professional summary email of the run.

What you need

  1. A Google account connected to Needle via the Google Drive and Gmail connectors.
  2. Access to the Needle platform to customize and run the workflow.
  3. Folder IDs from your Google Drive where the files will be organized.
  4. The ability to modify the AI prompt to suit your business type and keyword-based categories.

Output

At the end, your Google Drive files will be neatly organized into relevant folders based on your customized criteria. You will also receive an email summarizing how many files were moved, skipped, or if any errors occurred during the process.

Notes

  1. Be sure to customize the AI prompt before running to reflect your specific keywords, folder names, and folder IDs.

  3. This workflow processes only 10 files per run to maintain performance; you can adjust this limit as needed in the code node.
