Introduction
This workflow automates the process of organizing files in Google Drive by analyzing your personal files, categorizing them based on content and file type, and moving them to the appropriate folders. It streamlines file management so your Drive stays neat without manual sorting.
It performs the following tasks:
- Lists the Google Drive files owned by you, excluding folders.
- Selects the top 10 files from the list for processing.
- Uses an AI model to classify each file based on name, file type, and specified keywords, then determines the correct destination folder.
- Moves the files into their categorized folders and sends a professional summary email of the run.
What you need
- A Google account connected to Needle via the Google Drive and Gmail connectors.
- Access to the Needle platform to customize and run the workflow.
- Folder IDs from your Google Drive where the files will be organized.
- The ability to modify the AI prompt to suit your business type and keyword-based categories.
How the flow works
| Step | Description |
|---|---|
| Manual trigger | Starts the workflow when you choose to run it. |
| List files | Fetches files owned by you from Google Drive, excluding folders and shortcuts. |
| Limit files to top 10 | Selects the first 10 files to keep the workflow efficient and manageable. |
| AI file classification | An AI agent examines each file's name and type. It skips folders or shortcuts and categorizes other files into folders based on keywords, image/video types, or a miscellaneous category. |
| Move files | Files are moved into the destination folders determined by the AI classification. |
| Summary email | Another AI agent analyzes which files were moved, skipped, or failed and sends a summary report to your email. |
Output
At the end, your Google Drive files will be neatly organized into relevant folders based on your customized criteria. You will also receive an email summarizing how many files were moved, skipped, or if any errors occurred during the process.
Notes
- Be sure to customize the AI prompt before running to reflect your specific keywords, folder names, and folder IDs.
- Review the linked Google Docs guide in the workflow instructions to tailor the AI classification precisely.
- This workflow processes only 10 files per run to maintain performance; you can adjust this limit as needed in the code node.
- Keep Google Drive and Gmail connectors authorized to ensure seamless operation of the workflow.
