Every morning, this workflow scans your Gmail Sent folder for emails sent 3–7 days ago that never received a reply. For each one, an AI agent drafts a warm, personalized follow-up and saves it directly to your Gmail Drafts — ready to review and send in seconds.

The AI agent follows these rules when drafting follow-ups:

  1. Addresses the recipient by first name
  2. References the original topic naturally (never opens with "I am following up on my previous email")
  3. Keeps it to 2–3 sentences max
  4. Ends with a specific, gentle call to action
  5. Outputs NO_FOLLOWUP_NEEDED if there's nothing to follow up on

No additional configuration needed. The AI automatically identifies follow-up candidates from your Sent folder.


Customize It

  • Follow-up window: Change the Gmail node filter from "3–7 days ago" to "2–5 days ago" or "5–10 days ago" depending on your typical response window.
  • Volume: Increase the max emails retrieved from 8 to a higher number if you send more outbound emails.
  • Tone: Edit the AI agent prompt to adjust tone — e.g., more formal for enterprise sales, more casual for startup outreach.
  • Auto-send: Advanced users can swap the Gmail "Create Draft" action to "Send Email" to fully automate — review your Needle plan limits first.

Timezone Note

The trigger runs at 8:00 AM UTC, which is:

  • 1:30 PM IST
  • 4:00 AM ET
  • 9:00 AM GMT

Adjust the cron expression (0 8 * * *) in the Scheduled Trigger node if you want the drafts ready at a different time.
