The Meeting Recap Automator is a workflow designed to streamline how your team captures and follows up on meeting content. It takes a meeting transcript and produces a concise summary, identifies action items and tasks requiring follow-up, formats updates for communication channels, and creates actionable tasks in Notion, all while optionally sending a summary email to your team.

It does 6 things:

  1. Accepts a meeting transcript as input.
  2. Summarizes the main discussion points, decisions, and unresolved issues.
  3. Extracts action items with owners and deadlines along with items needing follow-up.
  4. Generates a well-formatted message suitable for email or messaging apps.
  5. Converts action items and follow-ups into structured task entries for Notion.
  6. Creates individual Notion pages for each task and sends an email with the meeting recap.

What you need

  1. Needle platform account with access to an AI model.
  2. Notion account connected via Needle's Notion connector with permissions to create pages.
  3. Gmail account linked for sending emails (optional).
  4. The meeting transcript text ready to input.

Output

At the end of this flow, you have a neat summary message ready to share, a Notion project populated with well-defined tasks to track progress, and optionally, an email sent to inform your team of outcomes and responsibilities from the meeting.

Notes

  1. Make sure your Notion integration has appropriate permissions to create pages.
  2. Customize the email recipient list inside the Gmail node to match your team's contact info.
  3. The workflow assumes the transcript text is well-formatted and includes exact names to assign tasks properly.
