This workflow processes incoming emails in your Gmail inbox to identify personal messages versus marketing or promotional content. It generates tailored replies to genuine emails using an AI model and logs all responses in a Google Sheets spreadsheet for easy tracking.
It performs five main tasks:
- Watches your Gmail inbox for new emails.
- Analyzes each email to determine if it is from a real person or if it is promotional.
- Filters out non-personal emails, focusing only on messages from real people.
- Sends an AI-generated professional and friendly reply to the personal emails.
- Logs details and the AI-generated reply into a Google Sheets spreadsheet.
What you need
- A Gmail account connected to Needle with proper authentication.
- Access to Needle's AI service.
- A Google Sheets account with a spreadsheet ready and connected.
How the flow works

| Gmail new email trigger | Triggers the workflow whenever a new email arrives in your inbox. |
| Needle AI email analysis | Analyzes the email to identify if it is personal or promotional. It composes a friendly reply for personal emails and extracts key details like the sender name, email, subject, and a brief summary. |
| Filter personal emails | Filters out marketing or newsletter emails, allowing only personal emails to proceed. |
| Send Gmail reply | Sends the AI-generated reply back to the original sender as plain text with Re: added to the subject line. |
| Log to Google Sheets | Logs the sender email, name, subject, summary, reply content, and date/time into a specified spreadsheet row for record-keeping. |
Output
At the end of the flow, personal incoming emails receive thoughtful AI-generated replies sent from your Gmail address. Meanwhile, all responses and email information are neatly logged into your spreadsheet for future reference.
Notes
- The AI model might not perfectly classify every email, so you may want to review its responses initially.
- Make sure connectors are authorized properly to avoid workflow interruptions.
- You can customize the AI prompt inside the Needle node to tweak the reply style and content as needed.
