Summarize Email Attachments to Drive
Automatically saves Gmail attachments to Google Drive, generates an AI summary with sender info and file link, and emails the summary for quick tracking.
Summarize Attachments and Save Automatically
This workflow automatically handles email attachments as soon as they arrive in your Gmail inbox. It downloads the attachment, uploads it to Google Drive, creates a concise AI-generated summary with key details, and then emails that summary to a specified recipient.
It does five things:
- Watches your Gmail inbox for new emails with attachments.
- Downloads the attachment from the received email.
- Uploads the downloaded file to a designated Google Drive folder.
- Uses an AI agent to generate a clear summary including the sender, filename, file type or contents, and the Google Drive link.
- Sends an email containing this summary to a specified email address.
What You Need
- A Gmail account with appropriate OAuth authorization to access and send emails.
- A Google Drive account with authorization to upload files.
- Access to the Needle platform with the AI summarization connector enabled.
- Permissions set up on Needle for your Gmail and Google Drive connections.
How the Flow Works
| Step | Node | Description |
|---|---|---|
| 1 | New Gmail Attachment Received | Listens for incoming emails in Gmail that have attachments. |
| 2 | Download Attachment | Extracts and downloads the email's attachment file from Gmail. |
| 3 | Upload to Google Drive | Uploads the attachment to a chosen folder on Google Drive for centralized storage. |
| 4 | AI Summary Generation | An AI agent summarizes the attachment details — including sender, filename, file type, and the Drive link. |
| 5 | Send Summary Email | Sends the generated summary to the specified recipient email address with the subject "Attachment Summary". |
Output
At the end of this workflow, you receive an email with a neatly formatted summary of your new email attachment. The summary tells you:
- Who sent it
- What the attachment is called
- A brief description of its contents or file type
- A clickable Google Drive link where the file is saved
Notes
- Make sure your Google Drive folder permissions allow the uploaded files to be accessible by those who need them.
- The AI summary depends on the content and metadata available in the attachment. Complex or unusual file types may affect the quality of the description.
- You can customize the recipient email address in the workflow to send summaries to another inbox if needed.
- Monitor your Google Drive storage quota, as files will accumulate over time from auto-uploaded attachments.
