Prestige Grand Residences — AI-Powered Re-Engagement Email Workflow

The Problem

In luxury real estate, a single lost prospect can mean ₹7–20 Crore in missed revenue. After a site visit, many high-net-worth buyers go silent — not because they lost interest, but because life got busy. Manually tracking these "deferred" prospects across spreadsheets and writing personalized follow-ups is slow, error-prone, and often doesn't happen at all.

The Solution

This Needle workflow automatically re-engages premium buyers who went quiet after visiting the property. It runs every morning at 8 AM, identifies deferred prospects, generates beautiful personalized HTML emails using AI, sends them via Gmail, and logs everything to prevent duplicate outreach.

How It Works

Step 1: Scheduled Trigger (Daily at 8 AM IST)

The workflow kicks off automatically every morning — no manual intervention needed.

Step 2: Load Prospect Database

A Code node loads the full prospect database with rich data for each buyer:

  • Name, email, phone, budget
  • Preferred unit type, tower, and floor
  • Site visit date and detailed interaction notes
  • Relationship Manager assignment
  • Tags (e.g., NRI-returning, investor, vastu-sensitive)

Step 3: Smart Filtering — Identify Deferred Luxury Prospects

A filtering Code node applies 5 criteria to identify the right prospects:

  1. Status = Inactive
  2. Site visit completed = Yes
  3. Deal not closed = Yes
  4. Budget ≥ ₹5 Crore (premium threshold)
  5. Last interaction 30–60 days ago (the optimal re-engagement window)

Each qualifying prospect is enriched with an urgency level:

  • HIGH — 50+ days since last interaction
  • MEDIUM — 40–50 days
  • STANDARD — 30–40 days

Step 4: Duplicate Prevention

Before sending any email, the workflow:

  1. Reads the Google Sheet email log to see who has already been contacted
  2. Merges prospect data with the log
  3. Filters out duplicates — so no buyer ever receives the same outreach twice

Step 5: Project Intelligence Enrichment

Each prospect is enriched with real-time project data:

  • 🏗️ Construction milestones — Tower-wise completion percentages and recent achievements
  • 💰 Pricing updates — Latest price revisions and payment plans (e.g., Flexi-Pay 20-40-40)
  • 📊 Inventory status — Exact unit availability per tower (e.g., "Only 2 penthouse units remaining")
  • 🎪 Upcoming events — Private previews, architecture showcases, investor masterclasses
  • 📋 Legal compliance — RERA status, bank approvals, OC timelines

Step 6: AI Email Generation (Claude Sonnet)

The AI Agent node crafts one unique email per prospect using structured output mode. Each email:

  • References the buyer's specific visit notes (e.g., "You mentioned wanting a home theatre...")
  • Highlights relevant construction progress for their preferred tower and floor
  • Creates urgency through real inventory scarcity data
  • Includes a matched event invitation based on buyer profile
  • Uses a consistent premium HTML template with navy header, highlight boxes, milestone badges, and CTA buttons
  • Is signed by the buyer's own Relationship Manager

Step 7: Gmail Dispatch

Each email is sent via the Gmail connector in item mode (parallel processing). The HTML body renders beautifully in all email clients.

Step 8: Google Sheets Logging

After sending, each email is logged to Google Sheets using a Loop node with upsert (matched on email column). This creates the audit trail that powers the duplicate prevention in Step 4.
